CRM for tradespeople who can't always answer the phone
A tradesperson has their hands full and the phone in their pocket. Clientee CRM catches every enquiry, whether it comes as a missed call, a website form or a Facebook message. It replies to the customer straight away, chases quotes nobody answered and asks for a review once the job is done. You get back to the work, not the paperwork.
(01) A model week
A week at a plumbing business
This is how the CRM would work for a plumber who is out on jobs all day and picks up the phone only when he can.
↳ A plumbing business: the owner and two plumbers
-
01Mon 7:40
The phone rings while the owner is under a sink
He doesn't pick up. The caller gets a text straight away: “Hi, I'm on a job and will get back to you by midday. What needs fixing?” The customer replies that the water heater is leaking. The message waits in the inbox with the number.
What it does -
02Mon 21:15
A web enquiry after everyone has clocked off
The form creates a contact and a job in the New enquiry stage. The customer gets a confirmation and a link to pick a time for the site visit.
What it does -
03Tue 7:30
Morning overview on the phone
Before he starts the van, he sees new enquiries, today's site visits with addresses and a quote the customer hasn't answered for several days.
What it does -
04Tue 16:30
A quote straight after the site visit
He sends the quote as a link from the van and the customer approves it online. If the customer goes quiet, the CRM sends a reminder after a few days. If there's still no reply, the owner gets a task to call.
What it does -
05Fri 14:00
Job done and handed over
The job moves to the Completed stage. The customer gets a thank-you, and the next day a request for a Google review. The next person looking for a plumber sees one more review.
What it does -
06In a year
Service reminder
The boiler they fitted needs its annual service. The CRM knows and texts the customer a link to book. Otherwise that job would go to whoever gets in touch first.
What it does
Illustrative example. The business is made up, the workflow isn't: we set times, message wording and stages to fit your business.

Where tradespeople lose work
- 01
Missed call, lost job
If they can't get through, they call the next tradesperson on Google. By the time you ring back in the evening, they've booked someone else.
- 02
Quotes with no reply
You send a quote, the customer goes quiet and you have no time to chase it. A month later you don't know who is still deciding and who went elsewhere.
- 03
Enquiries in five places
Texts, WhatsApp, Messenger, email, the website form and a scrap of paper in the van. You remember half of them.

What a tradesperson actually uses
- 01/06
A text after a missed call
Anyone who can't get through gets a message automatically. They know you've seen it, so they don't start ringing round your competitors.
- 02/06
One inbox for messages
Texts, email, WhatsApp, Messenger and Instagram in one thread per contact. On your phone and your computer.
- 03/06
Jobs on a board
Enquiry, site visit, quote, in progress, done. Every job sits in the stage it's really at.
- 04/06
Site visits in the calendar
The customer picks a time for the site visit from your free slots. The day before, they get a reminder with the address and time.
- 05/06
Quotes that follow up
Send the quote as a link and the customer approves it online. If they go quiet, the CRM follows up and gives you a task to call.
- 06/06
A review after every job
When a job is finished, a request for a Google review goes out. People who don't know you use reviews to decide who to call.
How we think about it
A tradesperson shouldn't spend evenings chasing work. It should all be in one place so they can get back to the job.
(04) Getting started
How we set it up for you
- 01
We look at how work reaches you
Phone, website, Facebook, word of mouth. We find where enquiries get lost today and where they wait longest.
- 02
We set up your job stages
We name them the way you talk: enquiry, site visit, quote, in progress, invoicing.
- 03
We connect your phone, website and messages
Texts for missed calls, the form on your website and your social accounts all go into one inbox.
- 04
We show you the mobile app
You'll do most things from your phone. We go through it on your own jobs, not in a generic training session.
(05) FAQ
Questions from tradespeople
01I work on my own. Is a CRM worth it for me?
Sole traders often get the most out of it. Nobody else answers the phone for you and nobody keeps an eye on your quotes. The CRM replies and follows up for you, and you run it from your phone between jobs.
02Will it take long to learn?
No. We set the system up and show you only what you'll use: the inbox, the job board and the calendar. Reminders and messages run on their own.
03Does it work with my current number?
Usually, yes. The number can be forwarded or transferred, or you can add a second number for texts. We pick the best option for you on the consultation, based on your phone provider.
04Can the CRM send invoices?
It can send a quote and an invoice with a card payment link. We still recommend keeping your accounting records in your accounting software. We check whether the two can be connected based on the software you use.
05Won't automatic messages annoy customers?
We only send automatic messages to people who contacted you first, and only about their job. Marketing messages, such as seasonal offers, go out only with explicit consent and an option to unsubscribe.
06Do I need a new website for this?
No. We connect the form to your existing website. If you don't have one, we can build you a custom one. UK painters and decorators can also get a free website from us.
