For coaches and consultants

CRM for coaches and consultants: everything in one place

A coach, trainer or consultant usually runs the business on five services: booking, payments, email, a course platform and a Facebook group. Clientee CRM brings them together. A prospect downloads your guide, books an intro call, signs the contract, pays and gets access to the course or community straight away. You see who is at which stage.

(01) A model week

A client's path from ad to programme

This isn't one week in the calendar but one client's path. Every step you do by hand today can run on its own.

↳ A coach who sells one-to-one sessions and an online programme

  1. 01Day 1

Downloading a guide from an ad

Someone who saw your ad downloads a guide in exchange for their email. The CRM saves them and starts a short email series with the most useful things you know.

  2. 02Day 6

    Intro call

From an email, they book an intro call. Beforehand they fill in a short questionnaire, so you know what they're coming with. A reminder the day before, a video call link an hour before.

  3. 03Day 6, after the call

    Contract and payment

You send the programme offer. The client signs online and pays by card, in one go or monthly.

  4. 04Right after payment

    Access to the programme

The client gets access to the course and community, a welcome email and a link to the first group session. You don't add anything by hand.

  5. 05Week 3

    Who has stalled

A client hasn't moved forward in the course for a while. The CRM sends them some encouragement and gives you a task to get in touch personally.

  6. 06End of programme

    Testimonial and next step

A request for a review or a short testimonial, and an offer of a follow-on programme for those who want to continue.

Illustrative example. The business is made up, the workflow isn't: we set times, message wording and stages to fit your business.

(02) Without a system

Where clients get lost

  1. 01

Five apps that don't fit together

Booking in one, payments in another, email in a third, the course in a fourth and a Facebook group. You pay for each and none of them talk to each other.

  2. 02

    Prospects who go cold

They download your guide, join a webinar, and then nothing. Nobody gets in touch when they're making up their mind.

  3. 03

    Admin after every sale

Send the contract, check the payment, add access, write a welcome. On the evening you wanted to keep free.

(03) For coaches and consultants

What a coach or consultant gets from the CRM

  • 01/06

    Sales pages and lead magnets

A page with a guide or webinar, a form and the contact straight into the CRM. No extra tool.

  • 02/06

    Calls in the calendar

Clients pick a time themselves, fill in a questionnaire beforehand and pay upfront for paid sessions.

  • 03/06

    Contracts and e-signatures

A contract from a template with the client's details. They sign on their phone and you have a record of the signature.

  • 04/06

    Payments and subscriptions

One-off payments, instalments and monthly subscriptions by card through Stripe.

  • 05/06

    Courses and community

Video lessons, materials and a private community under your brand. Access opens on its own after payment.

  • 06/06

    Email sequences

Prospects get content step by step, clients get reminders and updates. Each according to where they are.

How we think about it

Clients should remember your programme, not how many links they had to open before they got access.

(04) Getting started

From the first page to the first client in your programme

  1. 01

We look at how clients find you

From the first time they hear of you to the end of the programme. We find which steps you do by hand and where people drop off.

  2. 02

We build the pages and calendar

A lead magnet page, call booking and a questionnaire before the call.

  3. 03

We connect contracts, payments and access

Payment after signing, course access and a welcome after payment. No manual work.

  4. 04

We move your course and community over

If you want. Otherwise the CRM just links to your current platform and handles the rest.

(05) FAQ

Questions from coaches and consultants

01My course is on another platform. Do I have to move it?

No. The CRM can handle prospects, bookings and payments and just link to the course. If you move it into the CRM, you drop one subscription and access opens automatically after payment.

02Does it handle recurring payments and instalments?

Yes, through Stripe: monthly subscriptions, instalments and one-off card payments. We recommend keeping your accounting records in your accounting software.

03Does it suit financial advisers too?

Yes, for meetings, client care and policy anniversary reminders. It doesn't replace the records your regulator requires for selling financial products, though. Keep those in the system your firm specifies.

04Can I sell a webinar through it?

Yes. Registration, reminders before the start, the recording afterwards and an offer for those who signed up. The broadcast itself runs in Zoom or a similar tool.

05Is a contract signed in the CRM valid?

It's a simple electronic signature with a record of who signed, when and from where. For ordinary coaching or course agreements that's usually enough. Where the law requires a qualified signature, use a different tool.
