CRM for clinics and salons: clients who come back

Private clinics, physiotherapists, beauty and hair salons live on appointments and on clients who return. Clientee CRM lets clients book online, reminds them before the appointment and follows up afterwards with aftercare advice, a review request or an invitation to book again. Your front desk stops spending the day on the phone.

(01) A model week

A week at a physiotherapy practice

It works the same way in a beauty salon or at a hairdresser's. What changes is the services and how long before a client comes back.

↳ Physiotherapy: two therapists and a part-time receptionist

  1. 01Sun 20:40

    A booking on Sunday evening

The client picks a therapist, a treatment and a free slot on the website. She gets a confirmation straight away with the address, parking and what to bring.

  2. 02Mon 9:00

Questions arrive by message, not by phone

People ask about prices, free slots and opening hours through the website and Instagram. The AI assistant answers from the information you give it and offers a slot. Anything more complicated goes to reception.

  3. 03Tue 10:00

    A reminder the day before

The client gets a text with the time and a link to reschedule. Anyone who can't make it moves the appointment themselves, and the freed slot is open to others straight away.

  4. 04Wed 17:00

    After the treatment

In the evening a thank-you goes out with general aftercare advice that you write once. The next day, a request for a Google review.

    What it does
  5. 05In 6 weeks

    Time for the next visit

Anyone who hasn't rebooked after a course of treatment gets a message with a booking link. For beauty or hair, we set the interval by how long the service lasts.

  6. 06End of month

    The overview on one screen

You see where new clients came from, how many appointments were moved or missed, and who keeps coming back.

    What it does

Illustrative example. The business is made up, the workflow isn't: we set times, message wording and stages to fit your business.

(02) Without a system

Where the diary empties out

  1. 01

Reception on the phone all day

Most calls are about a free slot or a price. Meanwhile the client at the desk waits and the next caller can't get through.

  2. 02

An empty slot in the diary

A client forgets, doesn't turn up and doesn't cancel. Time that someone else could have had is lost.

  3. 03

    Clients who don't come back

After the first visit, nobody gets in touch. Clients often aren't unhappy. Nobody reminded them it was time to come back.

(03) For clinics and salons

What a clinic or salon gets from the CRM

  • 01/06

Booking by service and by person

The client picks a treatment, a specific therapist or stylist and a free slot. On your website, from Instagram or from your Google profile.

  • 02/06

    Reminders and rescheduling by link

A confirmation straight away and a reminder before the appointment. One link to move or cancel, no phone call needed.

  • 03/06

    AI assistant for messages

It answers common questions from your information and offers slots. What it doesn't know, it hands to a person.

  • 04/06

    Aftercare messages

The thank-you and aftercare advice go out on their own. Clients feel you're thinking of them, even with a full diary.

  • 05/06

    Google reviews

The review request arrives when the client is happy. Reviews win over new clients searching nearby better than ads do.

  • 06/06

    Next-visit reminders

Based on the service, the CRM knows when the next appointment is due and sends a booking link.

How we think about it

Your nearest new client is someone who has already been to see you.

(04) Getting started

From your services to the first reminder

  1. 01

We go through your services and team

What treatments you offer, how long they take, who does them and what breaks you need between clients.

  2. 02

    We connect online booking

To your website, Google profile and Instagram. We move future appointments over from your current system.

  3. 03

We write messages in your voice

Confirmations, reminders, aftercare and invitations to book again. In the words you use with your clients.

  4. 04

    We launch and fine-tune

For the first few weeks we watch how clients respond and adjust the wording and timing.

(05) FAQ

Questions from clinics and salons

01Can I store health information in the CRM?

We don't recommend it. The CRM is for booking and communication, not clinical records. Diagnoses and reports belong in your clinical system. CRM data sits on HighLevel's servers in the USA, which is not where you want health data.

02Does it work for several therapists or stylists?

Yes. Each person has their own calendar and services. The client picks a specific person, or the system assigns whoever is free.

03Can I take a deposit when someone books?

Yes. A booking can require a card payment upfront through Stripe. It's useful for longer treatments, where a no-show costs you the most.

04I use another booking system. Do I have to cancel it straight away?

No. We plan the switch so no future appointment gets lost, and we move future bookings into the new calendar.

05Won't the messages annoy clients?

We only send what relates to their appointment, plus aftercare. Offers and news go only to people who have agreed to them, and every marketing message has an unsubscribe option.
