CRM for real estate agents: no buyer left without a reply

An agent lives on speed and contacts. A buyer who waits until evening for a reply calls another agent in the meantime. Clientee CRM replies straight away, offers a viewing slot and saves what the buyer is looking for. When a matching property comes in, it gets in touch. Sellers who are still undecided get a reminder a few months later.

(01) A model week

A week for a real estate agent

The agent spends most of the day at viewings. The CRM keeps replies fast and remembers people for them.

↳ An agent at a regional estate agency

  1. 01Mon 7:55

    An enquiry about a flat

The CRM creates a contact, links it to the property and replies to the buyer straight away with a link to free viewing slots.

  2. 02Mon 12:30

A viewing booked without a phone call

The buyer picked a time themselves. The day before, they get a reminder with the address and the agent's number.

  3. 03Wed 18:00

    A note after the viewing

On their phone, the agent notes what the buyer wants: layout, area, budget and whether they need a mortgage. The buyer gets a thank-you and a question about how they liked the flat.

  4. 04Thu 9:00

A new property for saved buyers

A flat comes on the market that matches what several saved buyers are looking for. They hear about it before they find the listing themselves.

  5. 05Fri 11:00

A seller who isn't ready yet

A homeowner wanted a valuation but doesn't want to sell yet. In three months the CRM reminds the agent to call, and in the meantime sends the owner a short market update the agent prepares.

  6. 06After the sale

    Thank-you and review

Buyer and seller both get a thank-you and a review request. A year later, a message on the anniversary of the move reminds them who to call next time they sell.

Illustrative example. The business is made up, the workflow isn't: we set times, message wording and stages to fit your business.

Where agents lose deals

  1. 01

A reply only in the evening

Buyers message several agents at once. The viewing usually goes to whoever replies first.

  2. 02

Buyers in your head and a spreadsheet

Who wants what, at what price and how they're paying. When a new property comes in, you don't know who to offer it to.

  3. 03

    Sellers who went elsewhere

You did the valuation, the owner hesitated and you didn't follow up. Six months later they signed with the agent who called them.

What an agent gets from the CRM

  • 01/06

A reply as soon as the enquiry lands

The buyer gets a message with viewing slots within moments, even when you're at another viewing.

  • 02/06

    Viewings in the calendar

The buyer picks a time from your free slots. They get the reminder with the address automatically.

  • 03/06

    Buyer profiles

Layout, area, budget, financing. When a property comes in, one filter shows you who to send it to.

  • 04/06

A pipeline for properties and deals

Instruction, listing, viewings, offer accepted, sale. For every deal you see what stage it's at and what needs doing.

  • 05/06

    Long-term follow-up with sellers

Undecided owners get messages at regular intervals, and you get a task to call at the right moment.

  • 06/06

    Reviews and referrals

After the sale, a review request goes out. Good Google reviews help every time you pitch for a new instruction.

How we think about it

In property, the winner is whoever remembers what each person is looking for and gets in touch first.

(04) Getting started

How we set it up in your agency

  1. 01

We look at where your enquiries come from

Property portals, your website, social media and referrals. We find out how enquiries reach you today.

  2. 02

We set up the pipeline and profiles

Deal stages that fit your agency, and the fields you'll use to search for buyers.

  3. 03

We connect enquiries and the calendar

Enquiries from portals and your website go into one inbox, viewings into the calendar, reminders out by text.

  4. 04

    We train the whole agency

Each agent has their own contacts and calendar. The manager sees the whole agency and assigns enquiries.

(05) FAQ

Questions from agents

01Can the CRM pull in enquiries from property portals?

Portals usually send enquiries by email. We can process those emails in the CRM and create a contact from each enquiry. We check exactly how it works with the portals you use.

02Will it replace my listing software?

No. Clientee CRM doesn't export listings to portals. It's a system for people and deals: buyers, sellers, viewings and communication. You can keep using your listing software.

03We have several agents in the office. Does that work?

Yes. Each agent has their own calendar, contacts and deals. The manager sees the whole agency, and enquiries can be assigned by property or in rotation.

04Can I contact old buyers from my database?

Yes, those who agreed to receive offers from you. Everyone else only hears from us about their own enquiry. We help you set up consent in your forms.

05Can AI answer questions about a property?

The AI assistant can answer basic questions from the information you give it and offer a viewing slot. Price and negotiation stay with the agent.
